Tell us when the area can be used and when it must be clear again. A home office, reception desk or shared entrance may need a different plan from an empty room. Mention appointments, customer hours or other work scheduled nearby.
Agree how the team gets in.
Identify the person meeting the team, the parking or loading arrangements and which areas are available. If you will be away, nominate a contact who can answer questions. Share keys or codes only through an agreed channel after arrangements are confirmed.
Discuss protection and preparation.
Ask which belongings should be moved before the visit and what surface protection the job calls for. Mention pets, children, sensitive equipment and finishes that need particular care. Agree these details with the team rather than assuming a particular protection method is included.
Keep changes with one contact.
A single decision maker helps avoid conflicting instructions. If several people use the property, collect their requests into one agreed list. New requests can be reviewed, but they should not quietly replace or expand the approved scope.
Make the end of the visit clear.
Discuss cleanup, waste handling and any restrictions while materials dry or work is incomplete. Confirm who receives the handoff and which areas need checking. If there is a deadline for reopening a space, include it before the work is priced.
